Privacy Policy

This Privacy Policy explains how RCELL (Research Centre for English Language and Literature) collects, uses, and safeguards information provided in connection with the RCELL International Conference 2027 ("the Conference"). It is intended to help participants make informed decisions about sharing their information. This is an academic conference, not a commercial service; our data practices are correspondingly limited in scope.

1. Who We Are

The Conference is organised by RCELL (Research Centre for English Language and Literature), based in Maharashtra, India. RCELL operates rcell.co.in and its associated sub-domains, including the conference website at conference2027.rcell.co.in.

The Chief Convener responsible for conference operations is Dr. Madhuri Bite. References to "we," "our," or "RCELL" throughout this Policy mean RCELL in its capacity as organiser of this Conference.

2. Information We Collect

2.1 Abstract Submissions
When you submit an abstract through our Google Form, you provide information such as your name, institutional affiliation, email address, the title and text of your abstract, and any keywords or bio you choose to include. This information is stored in Google's systems under our Google Workspace account.

2.2 Conference Registration
When registration opens, we will collect your name, email address, institutional affiliation, category of participation (presenter or listener), and the country of residence or institution (to determine applicable fee category). Payment is processed via a third-party payment gateway (anticipated: Razorpay); RCELL does not store payment card details.

2.3 Email Communications
When you contact us by email, we retain the content of your message and your email address for the purpose of responding to your enquiry.

2.4 WhatsApp Community
If you join the Conference WhatsApp community group, your phone number and WhatsApp display name become visible to group members, subject to WhatsApp's own privacy settings. We use the group to share conference updates. We do not extract or store member data from WhatsApp independently.

2.5 Website Usage Data
This website does not use cookies or install tracking scripts beyond what Google Fonts may set in your browser for font delivery. We do not operate analytics on this site at present. If this changes, this Policy will be updated in advance.

2.6 Conference Sessions (Zoom)
The Conference will be held on Zoom. Zoom's own Privacy Policy governs data collected during Zoom sessions (see zoom.us/privacy). If sessions are recorded, participants will be informed at the start of each session. Recording consent is covered in the Terms & Conditions.

3. How We Use Your Information

  • To receive, assess, and communicate decisions on abstract submissions;
  • To manage conference registration, payment confirmation, and attendee records;
  • To issue e-certificates of participation or presentation;
  • To communicate conference updates, programme changes, and logistical information;
  • To compile a list of accepted papers and presenters for the conference programme;
  • To invite selected presenters to submit full papers for journal consideration (where applicable); and
  • To respond to general enquiries.

We do not use your information for marketing unrelated to this Conference or to RCELL's academic publishing activities.

4. Legal Basis for Processing

We process your information on the basis of your consent (when you voluntarily submit a form or contact us) and our legitimate interest in administering an academic conference. Where payment is involved, processing is necessary for the performance of a contract with you. We are an academic, not-for-profit initiative and process data proportionate to this purpose.

5. Sharing Your Information

We share your information only as described below:

  • Google LLC: Abstract submission forms and associated response data are stored in Google Forms and Google Sheets, subject to Google's Privacy Policy.
  • Payment Gateway (Razorpay or equivalent): Payment is handled directly by the gateway provider. Their privacy terms apply to payment data.
  • Zoom Video Communications: Session delivery; Zoom's privacy terms apply.
  • Programme Publication: Accepted presenters' names, institutional affiliations, and paper titles may appear in the publicly available conference programme or abstracts booklet.
  • Journal Consideration: If you are invited to submit a full paper and choose to do so, your manuscript and contact details are shared with the editorial team of The Criterion: An International Journal in English, operated by RCELL, under its editorial procedures.

We do not sell, rent, or trade your personal data.

6. Data Retention

Abstract submission data and registration records will be retained for a reasonable period after the Conference (typically up to two years) for record-keeping, certificate re-issue, and follow-up publication purposes. After that period, personal data will be deleted or anonymised unless you have given specific consent for longer retention. Email correspondence is retained for as long as it remains relevant to your enquiry or any ongoing matter.

7. Your Rights

Subject to applicable law, you may have the right to access, correct, or request deletion of personal information we hold about you. To make such a request, please contact us at the email address listed on the conference website. We will respond within a reasonable time. Please note that some records (such as certificates already issued) may need to be retained for administrative integrity.

8. Third-Party Services

This website and conference operations involve the following third-party services, each with its own privacy terms:

  • Google Forms / Google Workspace: policies.google.com/privacy
  • Google Fonts: developers.google.com/fonts/faq/privacy
  • Zoom: zoom.us/privacy
  • Razorpay (anticipated): razorpay.com/privacy
  • WhatsApp: whatsapp.com/legal/privacy-policy

We are not responsible for the privacy practices of these external services.

9. Security

We take reasonable precautions to protect the information you provide to us. Conference data is held within RCELL's Google Workspace account, which is protected by Google's security infrastructure and two-factor authentication. However, no method of electronic transmission or storage is entirely secure, and we cannot guarantee absolute security.

10. Children's Privacy

The Conference is intended for adult academic participants (researchers, faculty, postgraduate students, and practitioners). We do not knowingly collect information from persons under the age of 18.

11. Changes to This Policy

We may update this Privacy Policy as the Conference progresses (for example, once payment and Zoom links are confirmed). Any material changes will be noted on this page with a revised effective date. We encourage you to review this page periodically.
